How to Copy a PowerPoint Design Template to Another Presentation

  • Go to View > Switch Windows and choose the second presentation. Go to View > Slide Master . Right-click the Slide pane and select Paste .

This article explains how to copy a PowerPoint design template over to another presentation. Instructions apply to PowerPoint 2019, PowerPoint 2016, PowerPoint 2013, and PowerPoint for Microsoft 365.

How to Copy a Presentation's Design Template

It's often quicker to copy a design template from a presentation than to find it in the list of PowerPoint templates. 

Go to View in the presentation that contains the design template you want to copy and select  Slide Master .

Right-click the Slide Master in the Slide pane on the left side of the screen and select Copy .

The Slide Master is the large thumbnail image at the top of the Slide pane. Some presentations contain more than one slide master.

Go to View , select  Switch Windows , and choose the presentation you want to paste the Slide Master into.

If you don't see the other PowerPoint presentation on this list, it means that the other file isn't open. Open it now and return to this step to select it from the list.

In the second presentation, go to View and select Slide Master to open the  Slide Master .

To insert the Slide Master from the other presentation, right-click on the Slide pane to the left, select Paste , and do one of the following:

  • Choose Use Destination Theme to keep the theme colors, fonts, and effects of the presentation you are pasting to.
  • Choose Keep Source Formatting to copy the theme colors, fonts, and effects of the template you are copying from.

Select  Close Master View .

Changes made to individual slides in the original presentation, such as font styles, do not change the design template of that presentation. Therefore, graphic objects or font changes added to individual slides do not copy over to a new presentation. 

To copy PowerPoint slides to another presentation , right-click the thumbnail of the slide you want to copy and choose Copy . Right-click a blank area of the Slides pane where you want to place it and choose one of the pasting options.

To save a copy of a PowerPoint presentation on your computer, go to the File tab and select Download As > Download a Copy . Select Download to continue.

To embed YouTube videos in PowerPoint , select Share > Embed . Select the HTML code and choose Copy . In your PowerPoint slide, select Insert > Video > Insert Video From Website . In the dialog box, right-click the blank area and choose  Paste  > Insert .

How To Import PowerPoint Template? [Step-by-Step Tutorial!]

When you want to change the design of your presentation but don’t have enough time, try using a template. Microsoft PowerPoint has a variety of built-in templates or you want to take it to another level by importing custom templates to your presentation.

To import PowerPoint Template, open your presentation and click on the “File” tab. Then, choose the “Office” option under the “Blank Presentation” option in the “New” screen. Click on your preferred template and hit “Create” to download the template.

1. How to Insert PowerPoint Template?

In Microsoft PowerPoint, you can add custom templates to a presentation file using the “File” menu. Using templates in your PowerPoint presentation makes the slides look more connected and coherent. To add a PowerPoint template to a blank presentation, follow the 5 easy steps.

Step-1: Click on the “File” tab

The first step is to open any PowerPoint presentation file. Then click on the “File” tab, the first option in the menu ribbon at the top of the screen.

The next step is to open a new presentation file with a template. To do so, click on the “New” option in the sidebar located at the left side of the screen in the “File” menu.

Step-3: Click on the “Office” option

Under the “Blank Presentation” option in the “New” screen, click on the “Office” option. This will show all the PowerPoint templates available in Office 365. 

Step-4: Select your preferred template

You can scroll down to find your preferred template. You can also click on the search bar under the “Office” option to look for a specific template. Then all you have to do is click on your preferred template. This will open a dialog box.

Step-5: Click on the “Create” button

The final step is to download the template. Click the “Create” button in the dialog box to download the template. The new presentation file containing the template slides will open automatically once the download is complete. 

2. How to Import Custom PowerPoint Template?

Microsoft PowerPoint allows you to create and add custom presentation templates. Using the “File” menu, you can import a custom template to a new presentation or even an existing presentation. 

2.1 How to Apply a Template to a New Presentation?

To apply a custom template to a new presentation in Microsoft PowerPoint, all you have to do is follow the 5 quick steps.

The first step is to open a new presentation. To do so, you can click on the “File” tab in the menu ribbon of any PowerPoint presentation file. This will open the “File” menu.

In the “File” menu, click on the “New” option. It is the second option in the sidebar located on the left side of the screen. This will open the “New” screen. 

Step-3: Click on the “Personal” option

Now you can open a custom template. Click on the “Personal” option under the “Blank Presentation” option in the “New” screen. This will show all the custom PowerPoint templates available on your device. 

Step-4: Select your preferred custom template

All you have to do now is click on the custom template that you want to use. This will open a dialog box.

In the dialog box, click on the “Create” button to open a new presentation file with the selected template automatically applied to it.

2.2 How to Apply a Template to an Existing Presentation?

In Microsoft PowerPoint, you cannot apply a new custom template to an existing presentation file. However, you can import existing slides into a custom template file. All you have to do is follow the 6 simple steps.

Step-1: Apply a custom template to a new presentation

The first step is to apply your preferred custom template to a new presentation. To do so, follow the steps detailed in section 2.1 .

Step-2: Select the existing presentation slides

The next step is to open the existing presentation where you want to apply the custom template. Then click on the slide thumbnail pane on the left side of the screen to select the slide thumbnail. Press the “Ctrl+A” keys on your keyboard to select all the slides from the slide thumbnail pane. 

Step-3: Click on the “Copy” option

You have to now copy all the existing slides. “Right Click” on the slide thumbnail pane and click on the “Copy” option in the right-click menu. Alternatively, you can press the “Ctrl+C” keys on your keyboard to copy all the slides simultaneously. 

Step-4: Select the template slides

The next step is to open the new presentation file containing the template slide. Click on the slide thumbnail pane located on the left side of the screen. Then press the “Ctrl+A” keys on your keyboard to select all the template slides. 

Step-5: Click on the “Delete Slide” option

“Right Click” on the slide thumbnails and click on the “Delete Slide” option from the right-click menu. You can alternatively press the “Delete” key on your keyboard to remove all the template slides. 

Step-6: Click on the “Use Destination Theme” option

Now all you have to do is click on the down arrow under the “Paste” option in the “Home” menu in the template file. In the dropdown menu under the “Paste” button, click on the “Use Destination Theme” option to paste the existing slides into the new template design. 

3. How to Save Custom PowerPoint Template?

To create a custom template in PowerPoint, you can simply save a presentation as a “PowerPoint Template (.potx)” file. To do so, follow the 4 easy steps.

Step-1: Click on the “File” menu

In the menu ribbon located at the top of the screen, click on the “File” tab. This will open the “File” menu. 

Step-2: Click on the “Save As” option

In the “Save As” screen, click on the “File Type” box that shows “PowerPoint Presentation (.pptx)” by default. Then click on the “PowerPoint Template (.potx)” option in the dropdown menu under the “File Type” box.

Step-4: Click on the “Save” button

We often find ourselves creating the same sets of slides for different presentations---weekly presentations for company meetings, for example. Using slides from another PowerPoint presentation is a great way to save time and effort while still giving your presentation the professional appeal it requires.

Importing slides can save a ton of time. Not only does it keep all the animations and other settings when imported, but you can also have the imported slide adopt the theme of the presentation you’re working on.

First, go ahead and open the PowerPoint presentation that you’re working on---the one into which you want to import slides. Next, select the correct location on your presentation where you’d like your imported slide to appear. For example, if you want the imported slide to appear as slide number three, you’ll need to click the space between the existing slides two and three.

Next, switch to the “Home” tab and click the arrow under the “New Slide” button.

On the drop-down menu that appears, click the “Reuse Slides" command.

The Reuse Slides pane opens at the right side of your window. This is where you can browse your computer (or network) for another PowerPoint presentation. Do so by selecting either the “Browse” button or the “Open a PowerPoint File” link and navigating to the presentation that has the slides you want to import.

After selecting the file, you’ll see all of the slides from that presentation appear in Reuse Slides pane. Click any slide to insert it into your new presentation. You can't select multiple slides at once to import; you'll have to click them one at a time.

When you import a slide, it automatically takes on the theme of the current presentation. You can, however, choose to keep the original theme of the slide or even apply that theme to all of the slides by right-clicking one of the slides in the “Reuse Slide” pane and selecting “Apply theme to selected slides” or “Apply theme to all slides,” respectively.

It's easy to import a PowerPoint template that you've downloaded or saved on your computer.

Microsoft supplies a wide range of templates for download at templates.office.com. You can also find free and premium templates at third-party sites. PowerPoint expects personal templates to be stored in the templates folder at the location C:\Users< UserName >\Documents\Custom Office Templates, with < UserName > replaced with your Windows username. After downloading or copying a PowerPoint template, move it to the custom templates folder.

Import and Load a PowerPoint Template

When you start PowerPoint, you can select a template for a new presentation by selecting the File tab and clicking on New . You can select a built-in template from the gallery of thumbnails or use the search field to look for a specific type of template online. If you've added templates to the Custom Office Template folder, you'll see a Featured button and a Personal button under the template search field. Click on the Personal button and the gallery of thumbnails will switch to thumbnails of your custom templates. Select a template to import and load into PowerPoint. The template will be applied to a new blank presentation.

Apply Imported Template to Existing Slides

To apply an imported template to an existing PowerPoint presentation, follow the steps for creating a new presentation based on the template. Next, open the file containing the existing presentation. To import existing slides into the new presentation, select thumbnails for the slides you want to import and type Ctrl+C to copy them into the clipboard. Go to the new presentation and use Ctrl+V to paste the slides. Choose the paste option Use Destination Theme and the imported template will be applied to the slides when they're pasted.

Fix Problems with PowerPoint Template Location

If the Personal button isn't displayed after you select File > New , it's probably because PowerPoint hasn't been set to look in the correct folder. To fix this problem, go to File > Options and click on Save . In the PowerPoint Options dialog, look for the field labeled Default personal templates location . Make sure it has the file path for the Custom Office Templates folder.

You can store your template files in a different folder by entering the file path you want in the field. Click OK to close the PowerPoint Options dialog. If you have template files in the folder you specify, the Personal button will be displayed and you can select the template to import.

Create Custom PowerPoint Templates

You can create and save your own templates in PowerPoint. Begin by creating a new presentation and adding all the elements you want in your template. Then select Save As on the File tab and click on the Browse button. In the Save As dialog, change the Save as type menu to PowerPoint Template(*.potx). Once you select this type, the template file will automatically be saved to the Custom Office Templates folder and will be available for importing into PowerPoint.

Here's how to import PowerPoint templates and install new PowerPoint themes:

1. Check the Available Files

The first step how to apply a PPT template to existing presentation is to choose a PowerPoint template. Every custom PowerPoint theme is packaged differently. The installation of each theme will differ. 

Take, for example, the Lotus Business PowerPoint template that's available via Envato Elements. The download package includes a variety of .PPTX formats in different colors and three sizes.

Open the PPTX file and add your own content to build out your presentation quickly.

Custom PowerPoint themes typically come in two types of formats:

  • PowerPoint files (PPTX files)
  • .THMX / .POTX theme templates.

Here's how to work with each type of file:

2. Work With PPTX Template Files

Many theme makers package custom PowerPoint themes as simple PPTX files, standard PowerPoint presentation files. Add these to PowerPoint by double-clicking on them or choosing File > Open  inside PowerPoint.

The advantage of this approach is that the theme author can package many ideas for layouts inside the file. Then pick and choose the slides that have the layouts you want and add your content to them.

The disadvantage of this type of theme is that it doesn't feel as re-usable. Each time that you work with the custom PowerPoint theme, you'll need to open the original file, choose the slides to use, and add your content.

3. Or Use .THMX and .POTX Theme Files

The alternatives to pre-built PPTX files are .THMX or .POTX files. These are reusable themes that you can add to PowerPoint and apply to your current presentation with a few clicks.

The  Arcama PowerPoint theme is a great example of this. It includes .THMX files that you can add to PowerPoint and use again.

When you've got .THMX files (or .POTX in earlier versions of PowerPoint), create a folder to store the files in. Move the .THMX files to that folder.

Now, find the folder path where your themes are stored, such as  /Users/username/Themes , for example. Right-click the folder and then click on Get Info to grab this path if needed.

Now, return to PowerPoint and go to the  File > Save as template  menu. From there, choose the folder you’ve created to store your THMX files.

Your custom themes are now available in PowerPoint. Now, let's learn how to use them.

How to Change a Design Template in PowerPoint - Quickly 

So, you've installed your PowerPoint themes. Now you're ready to begin using them. Let's look at how to apply template to existing PowerPoint.

If your PowerPoint themes were PPTX files, you can start using them as soon as you open the file. As I mentioned earlier, simply drop in your own content and you're using the custom theme.

For THMX files, you'll see these in the  Personal  Section when you create a new PowerPoint presentation. On the  File > New  menu, click on  Personal  to see your newly installed themes. Click on one of them to create a new presentation with the selected theme.

You might be accustomed to changing PowerPoint's themes on the ribbon. Unfortunately, your  Personal  PowerPoint themes don't automatically show up on PowerPoint's ribbon. You'll need to add the themes specifically to PowerPoint's ribbon to make them available.

To add PowerPoint themes to the Design tab, click on the drop-down arrow on the right side of the Themes  section. Choose  Browse for Themes and browse to your custom .THMX files. Then, choose  Save Current Theme  after you've applied new template to existing PowerPoint.

Now, your custom PowerPoint themes will be available on PowerPoint's ribbon. Simply click on the thumbnail to choose the new theme design you'd like to quickly apply the PPT template to existing presentation.

  • How can I apply a template to an existing presentation?

This tutorial instructs you on how to apply a custom theme (otherwise know as a template; this is a .ppt file type) to your powerpoint presentation.

The last step is very important, if you are planning on capturing this presentation as a screencast video because you'll still want to change your default slide presentation ratio (4:3) to the widescreen ratio (16:9).

NOTE: This guide does NOT provide instructions on how to create and/or save a custom template.

  • Navigate to the "Design" tab of the Options Ribbon.
  • Select on the "More" icon to view more available themes.
  • Select on "Browse for themes..."
  • Navigate to your saved theme.
  • Change the presentation slideshow ratio.

  • The file tab is active.

1. Navigate to the "Design" tab of the Options Ribbon.

2. Select on the "More" icon to view more available themes.

  • You could also select one of the standard themes that is included with PowerPoint.

  • Select "open" to apply it to your current presentation.

You can apply themes to existing or new presentations. You can also change the theme for your presentation.

5. Change the presentation slideshow ratio.

The default slide lay out is set at a ratio of 4:3. Many screens and projectors still use this ratio. However, for recording widescreen video, you need to change the ratio to 16:9.

You can do this by:

  • After ensuring the that "Design" tab is selected, select on "Page Set Up."
  • Change the "Slide sized for:" drop down menu from On-Screen Show (4:3) to On-Screen Show (16:9 ).
  • Select "OK"
  • Confirm that the slide is now the wider 16:9 ratio.

PowerPoint 365: How to Import Slides from Another Presentation File

How to easily import slides from another presentation in Microsoft PowerPoint 365 or Office 365 with these instructions.

Note: These steps are for the desktop client version of PowerPoint. The web version does not have this feature.

  • Open PowerPoint and open the file you wish to import slides into.
  • Select the “ Home ” menu.

If you accidentally import an unwanted slide, use the CTRL + X keyboard shortcut to undo the last change or right-click the slide and select “ Delete Slide “.

What if the “Reuse Slides” option is missing?

That is a common issue that is often rectified by reinstalling Office 365. Also, the web version does not include the “Reuse Slides” option. You have to be using the desktop client.

This just doesn’t work. The “Reuse slides” option is nowhere to be found in the Home tab menu under New Slide. All I’m seeing under the New slide options are “Duplicate the selected slides” and “Slides from Outline.” I’m using Office 365 PPT, and I’m having a really hard time combining two completed PPTs. I am able to copy and paste slides from one PPT to the one that I want to function as a combined product, only it’s going to take a looooong time to do this, and I noticed that PPT automatically continues paginating… Is there a way to combine multiple PPTs into one master PPT? I have a unit of lesson plans with a total of eight PPTs that I need to combine into one master PPT. Any assistance would be most appreciated.

Importing into a new theme… but some remanats of the old background still exist and are imported even though the keep source formatting button is unchecked. I just want the header and the content/text/formulas….

Please note that in the REUSE SLIDE choice there is no BROWSE button. So how do we insert the slides from the presentation of choice?

I have a problem in that Notes Pages for Reuse slides are no longer A4 and so footer and page numbers appear “off page”. Why does Reuse change the size of the paper of the inserted slides?

How to Import and Reuse Slides in a PowerPoint Presentation

Save some time and reuse slides in PowerPoint from other presentations. This gives you a great jumpstart on your next slideshow.

Not every slideshow you create in Microsoft PowerPoint needs to start with a blank canvas. At the same time, you may have slides in a different presentation that could benefit your current one.

With a handy import feature, you can reuse slides from other PowerPoint presentations. And while the in process for using the feature differs slightly when you use Windows versus Mac, it’s still a convenient one.

Reuse Slides in PowerPoint on Windows

When you import slides from another PowerPoint file on Windows, you can choose which slides to use. For example, you can pick one slide or insert them all.

With your current presentation open, go to the Home tab. In the Slides section of the ribbon, click the arrow below the New Slide button. Select Reuse Slides . This opens a Reuse Slides sidebar on the right.

Use either the Browse button or Open a PowerPoint File link. Browse for the presentation containing the slides you want to reuse. Select it and click Open .

You’ll then see the sidebar populate with all slides from that presentation.

  • To insert a single slide, simply click it in the sidebar. The slide will pop into your current presentation using the style and formatting you have set up.
  • To insert a slide and keep its original formatting, check the box for Keep source formatting at the bottom of the sidebar.
  • To insert all slides, right-click any slide in the list and choose Insert All Slides .

Reuse Slides in PowerPoint on Mac

When you import slides from another PowerPoint file on Mac, all slides are imported automatically. Therefore, you can delete those imported slides that you don’t want to use.

With your current presentation open, go to the Home tab. In the Slides section of the ribbon, click the arrow next to the New Slide button. Select Reuse Slides .

Browse for the presentation in the Choose a File window that appears, select it, and click OK .

As mentioned, all slides from the chosen file will appear in your current presentation. And they retain the original slideshow’s style and formatting.

  • To remove a single slide, select it and press your Delete key or right-click it and choose Delete Slide .
  • To remove more than one slide, hold your Command key as you select each slide. Then, press your Delete  key or right-click and choose Delete Slide .

Known Issues With the Reuse Slides Feature

While the Reuse Slides feature in Microsoft PowerPoint is certainly a handy one, it comes with issues for some users. As of this writing, here’s what we know.

One known problem is the lack of this option in PowerPoint for the web . While Microsoft shows the feature in their screenshot on the topic, you may not see it yourself (as you can see in the image below, Reuse Slides should be in the Slides section). The issue has been pointed out in places like the Microsoft Community forum .

Another known issue is the feature’s disappearance in the PowerPoint desktop version after upgrading to Microsoft Office Version 2104, Build 13929. If you still have this Office version on your computer, consider upgrading to a newer one to solve the problem.

Save Time and Reuse Slides in Microsoft PowerPoint

If you find that using a slide or two from another PowerPoint file can save you a bit of time, why not? While the feature is slightly less flexible on Mac versus Windows, it can still be a huge help when creating those lengthy presentations on either platform.

Import content from other applications into PowerPoint

You can import content from other programs into your presentation. This includes files created by other Microsoft Office programs, as well as files from other programs that support Object Linking and Embedding (OLE).

Note:  You can insert content only from programs that support OLE and are installed on your computer. To see what types of content you can insert, on the Insert tab, in the Text group, click Object . The Insert Object box lists the object types you can use.

There are two ways to insert content objects into a PowerPoint presentation:

Linked objects     A linked object is updated if its source file is changed. For example, a linked chart built from data in Microsoft Excel is changed if the source Excel data changes. The source file must be available on your computer or network to maintain the link between the inserted object and the source data. Inserting a linked object is recommended if the source data set is large or complex.

Embedded objects     The source data is embedded in the presentation. You can view the embedded object on another computer, because the source data is part of the presentation file. Embedded objects typically require more disk space than linked objects.

Link or embed content copied from another program

In a program other than PowerPoint, select and copy the information that you want to insert as an object.

In PowerPoint, click where you want the object to appear.

On the Home tab, in the Clipboard group, click the arrow below Paste , and then click Paste Special .

In the Paste Special dialog box, do one of the following:

To paste the information as a linked object, click Paste link .

To paste the information as an embedded object, click Paste . In the As box, click the entry with the word "object" in its name. For example, if you copied the information from a Word document, click Microsoft Word Document Object .

Note:  If your selection is very small, for example, a few words from a Word document or a number from an Excel worksheet cell, you might not have to save it as an object. In this case, click one of the options provided in the As box, or paste the content directly.

Click in the slide where you want to place the object.

On the Insert tab, in the Text group, click Object .

Click Create from File .

Click Create from file

In the File box, type the name of the file, or click Browse to select from a list.

Select the Link check box.

Do one of the following:

To display the content in your presentation, clear the Display as icon check box.

To display an icon that is clicked to view the object, select the Display as icon check box. To change the default icon image or label, click Change Icon , and then click the icon that you want from the Icon list. If you want, you can type a label in the Caption box.

Insert an embedded object

If the object does not already exist, click Create new . In the Object type box, click the type of object that you want to create.

If the object already exists, click Create from file . In the File box, type the name of the file, or click Browse to select from a list. Clear the Link check box.
