The Assignment Process

Living on campus at UNC Charlotte is very popular and demand is high. This means we are likely to have more students interested in living on campus than we have space to accommodate them. To support the success of incoming students, we will prioritize applications from entering first time in college (FTIC) students, new transfer and international students, and then continuing students as available space allows.

In addition, assignments are made according to a combination of factors including space availability, date of completed application, roommate requests and building/room preferences. Please keep in mind that preferences are NOT guarantees but are used for placement when requested space is available. Please read the details and the terms and conditions of the  Housing Contract to further understand what to expect from the assignments process.

If you have any questions that aren't answered here, please feel free to  contact us .

Housing assignments are made and communicated:

  • for Spring-Only Housing: continuously, starting in November
  • for Fall-Spring Housing (for new students/applicants): continuously, starting in February
  • for Fall-Spring Housing (for returning residents): during the Return to Campus Living campaign , starting in January
  • for Summer Housing: starting in April

As students cancel housing or are moved to other buildings on campus, we make additional assignments. Students who have not yet received their assignment can check with the  Assignments Office . Students are always welcome to use our Online Housing System to check the status of their application, view assignments that have been made and get information about their roommate(s), if any.

Housing assignments are made according to the date that the Contract for Residential Services (or Online Housing Application) and $100 non-refundable housing application processing fee were received (the later of the two is used in the assignments process, as an application is not complete until both parts are received in our offices), using the spaces available after returning student placements are made.

Returning residents go through a re-application period called Return to Campus Living .

If you have already been assigned and are interested in an assignment change, please monitor your email for late-spring updates about that possibility.

During the first two weeks of each semester, we verify the assignment status and occupancy of each student in our residence halls. This process allows us to verify that each student in a room, has been assigned there and that our records are correct and current, in case of emergency or other need. During this process, we "freeze" the room change process. No room changes may occur during this period.

Residents who do not like their room assignment may use the room change period to move to another space on campus, if one is available. The room change period takes place once every semester.

Summer Housing Q&A

Who is eligible for summer housing .

Summer campus housing is available to all undergraduate and graduate students who are registered for at least 3.0 credit hours each session. Your housing application will be compared against Summer School course registration records to verify enrollment.

You do not have to apply for campus housing for the entire summer. You can live on campus for only the sessions in which you will be enrolled in classes.

*If you currently live in Ram Village and will be living there in the Fall as well, you have the option to remain in your room over the summer even if you aren't enrolled in classes

What if I currently live on-campus and I’m not taking classes this summer, can I still live on-campus?

No, summer housing is reserved for students taking classes over the summer.

What is the Location of On-Campus Summer Housing? 

The residence halls open for Summer School sessions are selected based on projected enrollment and anticipated renovation projects scheduled for the summer. Locations for Summer School housing in 2024 in the following communities:

How Much Does Summer Housing Cost? 

Our rates may change from year to year. Click on the "Summer (Year)" tab on our Rates page to get the updated summer rates.

If you are receiving financial aid for the summer, please contact the Office of Scholarships and Student Aid to be sure the financial aid deferment is posted to your account for the appropriate summer school session.

When Can I Apply for Summer Housing? 

The application at myhousing.unc.edu opens on February 16, 2024 at 9 am. Summer housing applications will be considered on a first-come, first-served basis.

In recent years, demand for Summer School housing has been high, and we recommend that you apply early.

How Are Summer Housing Assignments Made? 

Summer school housing applications will be processed in the order that they are received until all available bed spaces are filled. Summer housing is not guaranteed for students enrolled in summer school so it is important that you submit your summer school housing application as soon as possible.

Rooms are assigned on a first-come, first-served basis. One building is filled before assignments are made for the next building. If you do not have a roommate preference you will be assigned to a double room with another student.

Can I Just Live in My Current Room During the Summer?

If you live in a residence hall ...

You may be able to remain in the same room during Summer School if both of the following conditions are met:

  • The building in which you currently live is designated for Summer School, and
  • The room is not needed to meet another student's special needs.

We will work to accommodate your request; however, returning to your same room is not guaranteed. 

If you live in Ram Village ...

If you currently live in Ram Village, you have the following options:

  • Extend your stay through the end of Summer Session I.
  • Extend your stay through the end of Summer Session II.

If you also have a Fall assignment in Ram, you can extend your stay between the end of Summer II and the beginning of Fall semester.

You will have this option on your online Summer Application found at myhousing.unc.edu .

If you will live in Ram Village in the Fall ...

If you have an assignment for Ram Village for next Fall, housing will work to assign you to your future assignment if the space is available. If the space is available, you will automatically be assigned to the space and can begin your stay in your apartment community during the summer and stay through until the Fall semester. Your options include:

  • Begin your stay at the beginning of Summer I.
  • Begin your stay at the beginning of Summer II.

NOTE: For both of these options, you also must choose the Summer-to-Fall Extension term, which allows you to continue living in the apartment between the time that Summer II ends and Fall begins.

When Will I Get My Summer Housing Assignment? 

We will release summer assignments by April 12th at 5pm for applications submitted by April 1 st . 

What Are the Move-in/Move-out Dates for Summer Housing? 

Your move-in date depends on which session of summer school you are attending. Note that all residence halls will open on the following dates:

  • Maymester: Tuesday, May 14th
  • Summer Session 1: Tuesday, May 14th
  • Summer Session 2: Sunday, June 23th
  • Summer Extension (Ram Village only): Thursday, August 1st 

Your move-out date depends on which session of summer school you are attending. Note that all residence halls close on the following dates:

  • Maymester: Saturday, June 1st 
  • Summer Session I: Sunday, June 23rd
  • Summer Session II: Wednesday, July 31st

Unless you are assigned to the same room for both Summer Sessions, you will need to complete checkout procedures and remove all personal belongings prior to closing of each Summer Session.

How Do I Cancel Summer Housing? 

To cancel your Housing Contract, you must do so in writing, directly with the Housing Office. Notifying other University departments of changes to your plans will not cancel your Housing Contract. You may cancel your Housing Contract by submitting the Housing Cancellation Request form found online in the MyHousing Portal (recommended) or via email at [email protected].

If you defer payments through Financial Aid, you are responsible for any cancellation penalties assessed. Typically, Financial Aid does not cover cancellation penalties; therefore, students are individually responsible for assessments made to the student account.

  • Prior to Occupancy ​If you cancel your Housing Contract prior to the official opening date of the residence halls (or whenever you accept the key, whichever is earlier), you will be responsible for a $50 cancellation charge.
  • After Occupancy If you cancel your Housing Contract after the official opening date of the residence hall or taking possession of a room key, whichever occurs first, you will be responsible for prorated rent.
  • Prorated Rent Prorated rent is determined by multiplying the room rate by 25%. This weekly rate is then multiplied by the number of weeks from the official Contract start date through the date when proper checkout procedures have been completed. Prorated rent is charged by the week, and each new week begins on Sunday. Rent is only prorated for the first 3 weeks of each summer term. After the 3rd week of the summer term, residents are responsible for the full amount of the housing costs, regardless of the number of weeks the resident actually occupied the room.

What is the Summer Housing Contract? 

The Summer Housing Contract is the basic document that states the student's and the University's contractual obligations. All information contained in the Carolina Housing web pages, including the Community Living Standards section, is a legally binding adjunct which is incorporated into the Summer Housing Contract.

It is the student's responsibility to become familiar with all provisions of the Summer Housing Contract, and provisions may be added or changed during the term of the Summer Housing Contract with appropriate prior notification to residents.

No term or condition of the Summer Housing Contract may be waived without the formal written agreement of both parties, and no oral statement made by Carolina Housing or its agents or employees is considered a waiver of any term or condition.

UNC Charlotte lays out options for 300+ students still needing housing for fall semester

An email from the school was sent to families Thursday laying out the options for those who applied and paid their deposit by June 1.

CHARLOTTE, N.C. (WBTV) – UNC Charlotte has come up with a solution for hundreds of students whose housing was in jeopardy for the fall semester.

As of Monday, July 25, University officials said they will have housing for those 310 students, that’s down from 328 last Thursday, and down from the original 440 students that were notified in mid-July. The University says it’s making progress placing students as housing contract cancellations come in.

Marisa Lee is one of those 310 students. She is a rising junior and lived on campus last school year.

“It’s very stressful,” Lee said.

Last year Lee says she received an email saying her housing was uncertain and then got another one with her housing assignment a few days later. She thought the same thing would happen this year when she was told she wasn’t placed.

“I am that they are trying to find us options, and I appreciate the constant communication as well, that they’re not just leaving us in the dark about it,” she said. “There are updates continually so I am happy about that, but I am just disappointed that it was kind of last minute.”

Students will have one of two assignments. The first will be at a nearby hotel until on-campus housing becomes available a few weeks after move-in.

According to the email, the university will manage the accommodations and help with moving when students later relocate.

The second assignment is a nearby apartment for the entire semester, which will again be managed by UNC Charlotte staff, according to the email. Housing and Residence Life staff said if on-campus housing becomes available during the fall semester, students would have the option to switch.

If on-campus housing is available for the spring semester, students would be switched to that and the university will again help with the relocation.

Lee is hoping she will be placed as close as possible to the campus since she doesn’t have a car of her own.

“I was really hoping for somewhere on campus so I want to be as close to campus as I possibly can be. Just because of the transportation issue I can’t be too far because I won’t have a way to get to where I need to be,” Lee said.

The school will also provide transportation to campus and students won’t pay any extra costs for the housing.

“That’s the biggest thing I was concerned about. I was a bit confused because if I get an off-campus apartment is it me getting an apartment on my own and paying rent every month or is it the same fee. I’m really glad it’s the same fee,” Lee said.

Other students, like Joshua Reid, who were placed earlier this summer say they’re thankful the university is finding their peers another place to stay.

“Although it’s frustrating I like how the campus is still doing the best it can to make sure everybody has somewhere to be situated,” Reid said.

Students should get an update on their housing assignment by July 27, according to the university.

Update on fall 2022 housing demand

Demand for University housing continues to be high, especially this year. As a result of increased applications and an unexpected decrease in cancellations, the Office of Housing and Residence Life has been unable to assign all students who applied and submitted a housing deposit by the June 1 priority housing deadline for the start of the fall semester as quickly as they have in years past.

As of Tuesday, July 19, approximately 350 individuals still need a housing assignment. HRL is working with both on- and off-campus partners to secure housing for these students.

“We are committed to ensuring students have University housing and know their assignments as quickly as possible,” said Casey Tullos, associate vice chancellor of student affairs for housing and residence life. “We sincerely apologize for the stress we know this delay is causing our residents and their families.”

Students who no longer wish to reside on campus may cancel their housing contract with no financial responsibility through July 29, 2022, by logging into the Online Housing System.

Housing Application Information

Classification.

Students who begin their first academic year at UNCW immediately after graduating high school are considered first year students.

Residency Requirement

Students classified as first-year students are required to live in on-campus housing for their first two years at UNCW. Get more information on this housing requirement .

Meal Plan Requirement

First-year students are required to participate in one of the Hawk meal plans. See additional information regarding meal plans .

First-year students are required to live in a traditional first-year residence hall. Here are the options:

  • Sandpiper Hall
  • Pelican Hall
  • Cornerstone Hall
  • Innovation House
  • Keystone House
  • Schwartz Hall
  • Graham-Hewlett Halls
  • Terrapin Hall
  • Loggerhead Hall

Each Living Learning Community is assigned to a specific area of campus. You may select up to 3 building preferences and 1 roommate preference. However, the Living Learning Community you join will determine where you will be assigned.

Typically, your requested roommate must also be a member of that community. University College should be able to provide more information about their Learning Communities' processes and programs .

Affinity communites are spaces in our Residence Halls where students can learn, collaborate, and explore the communities they identify with. UNCW currently has two Affinity communities:

  • Once assignments have been made, you will receive notification via your UNCW email with instructions on how to view your assignment and roommate information on your MySeaport .
  • Please note: Housing assignments are made based on housing application completion date and time and preferences submitted during the application are not guaranteed. However, we try our best to accommodate requests if possible.

How to Apply

The housing application for fall 2024/spring 2025 will open on january 23rd at 10am. once you submit your housing application, you will have until may 20th to enter/edit your room type and area preferences..

You must pay your Admission Enrollment Deposit before you can apply for on-campus housing. This is separate from the non-refundable Housing Application Fee. It may take up to 5 business days for the deposit to process and allow you access to the Housing Portal.

If you are under the age of 18 at the time you submit the agreement, you must have a Parent/Guardian co-sign your agreement. They will receive an email with a link and a code once you sign your agreement. Your application will NOT be complete until this co-signature has been submitted.

Step by Step Instructions

  • Students who have been admitted to UNCW and paid their admissions enrollment deposit may apply for housing.
  • Until the enrollment deposit has been paid, you will not be able to access the housing application. Please Note: It can take up to 3-5 days to process your enrollment deposit.
  • You can access the housing application via your Applicant Status Portal or through MySeaport.
  • Be ready to supply your personal information, including emergency contacts, and to make a payment of $150 online.
  • Review the Housing Agreement, read and check off each attestation, and sign your housing agreement by clicking “I Agree”.
  • Pay the $150 housing application fee. This fee is non-refundable regardless of enrollment.
  • If you are under the age of 18 at the time you submit the housing agreement, you must have a Parent/Guardian co-signature. Your application will not be completed until this co-signature has been submitted.
  • First, you will complete a questionnaire used for roommate matching during the assignment process. Please answer these questions as accurately as possible.
  • Second, you may submit the name of a specific person with whom you wish to room; however, due to space constraints, we cannot always accommodate student requests.
  • Preferences are not guaranteed! We cannot always accommodate student requests. Therefore, we cannot guarantee any particular building, room, or roommate preferences. However, we try our best to match as many criteria as possible so your on-campus living can feel like your “home away from home”.
  • Need Special Accommodations? If you require a reasonable accommodation due to a documented medical concern that you believe may influence your housing assignment, please contact our Disability Resource Center as soon as possible. Visit the DRC Forms page to learn more about submitting appropriate documents.

Other Important Information:

  • The AY 24-25 Housing Application Fee will be $150.00.
  • The Cancellation Deadline for students who are not attending the University in the fall is June 1, 2024. Cancellations received after this date will incur a $250.00 late cancellation fee.

Disability Housing Options

Housing accommodations for students with documented disabilities are determined based on the need for equal opportunity, and not based on a perceived “benefit” to the student. Please note: disability status does not impact one’s position in the queue (i.e., waitlist); however, should a housing assignment be granted, appropriate accommodations will be addressed. Students currently waiting for on-campus assignments are encouraged to visit the DRC Forms Page while waiting, as this may help expedite necessary adjustments to the room or facility.

Students with disabilities living in UNCW residential buildings who need an accommodation in order to have equal access to the housing environment must make their requests known well in advance of their planned move-in date to ensure their needs can be appropriately met (see HRL’s Campus Living Handbook [PDF] ). First-Year Requirement

Living on campus is an essential part of the Wolfpack experience: that’s why students are required to live in University Housing their first year.

Our primary goal is to see students succeed – both academically and socially. We invest a significant amount of time and energy into training students to be leaders within their residential communities. Together, our professional and student staff members work to create a positive environment for all of our residents. From more than 3,000 programs and events in the halls to tutoring and mentoring, our job is student success.

Required Semesters

Refer to the schedule below to determine which semesters are required as part of the live-on requirement based upon the student’s admit term.

Please note that the University Housing agreement is a full academic year agreement (fall and spring). Students who renew their housing for the fall to fulfill the second semester of the live-on requirement are then bound by the University Housing agreement for the following spring term, thus committing a student to a total of 3 semesters on campus (spring, fall, and the following spring).

First-year students who wish to request an exemption for summer, fall, or spring may complete an exemption request.  Students may make an exemption request as soon as they are admitted to the university.

Students who qualify for an exemption from the live-on requirement include:

  • First-year students who are 21 years of age or older before the first day of classes
  • First-year students who are 16 years of age or younger on the first day of classes
  • Married or domestic partner – student must submit a copy of their marriage certificate.
  • First-year students with dependents – student must submit a copy of the child’s birth certificate along with a copy of their most recent tax return listing the child(ren) as a dependent(s).
  • Military veteran – student must submit a copy of their DD-214 discharge papers.
  • Students who have lived on campus at NC State for 1 year or have completed a minimum of 2 semesters of coursework from a post-secondary institution. Students dually enrolled in high school and a college or university are not exempt from the first-year live-on requirement.
  • Appeal for extenuating circumstances (see Appeals section)

The university recognizes that some students may have unique circumstances that may be considered for an exemption from the live-on requirement.  In a very limited number of cases, where students demonstrate that special circumstances exist which would create a substantial personal hardship, students may appeal the first-year live-on requirement.

Appeals from the live-on requirement may include:

  • A demonstrated financial hardship
  • Medical / disability needs which cannot be accommodated in on-campus housing, as determined by NC State’s Disability Resources Office
  • Religious requirements that prevent living on campus
  • Students who live at their permanent residence, with their parent(s) or legal guardian(s), within a 15 mile driving radius of NC State’s main campus (201 Dan Allen Dr.)

Appeals to be released from the first year live on requirement are reviewed on a case-by-case basis by a committee. Submitting an appeal does not guarantee a release from the requirement. University Housing recommends that first-year students do not sign a lease or contract for off-campus living accommodations until after they are notified of the appeal decision.

The appeals committee may consult with other university departments including but not limited to Student Health Services, the Office of Scholarships and Financial Aid, and the Office of International Services.

Decisions from the committee will be communicated in writing before the beginning of the student’s start term. All decisions of the committee will be final.

Appeals must be submitted according to the following schedule:

Procedure for reviewing exemption requests:

  • Students complete and submit the First-Year Live-On Requirement Appeal Form with proper documentation.
  • University Housing will review all requests in a timely manner.  Additional information may be requested from some applicants prior to a decision.
  • First-year students requesting an exemption will be notified by email from University Housing regarding the exemption outcome.
  • First-year students with an approved exemption will not be required to live on campus.

The exemption process is NOT intended for students who:

  • Dislike their room, roommate, residence hall, apartment, or on-campus living in general. Please see our  room change page for move requests.
  • Have dietary concerns or special diet requirements that may be accommodated by  NC State Dining
  • Already signed a lease or rental agreement off campus
  • Wish to live with a sibling, other relatives, or friend off campus
  • Have family members who have purchased, leased or rented a home or condo close to campus
  • Have a disability such as mobility, visual, hearing, or mental/emotional disabilities, or medical conditions such as asthma or allergies. For additional please refer to the  Disability Resource Office (DRO) .

How to Appeal:

  • Log into MyPack Portal using your NC State user ID and password.
  • Select the Campus Living tile
