Becoming a pastor is one of the most rewarding careers you can pursue. One of the most vital components of your application for the post of a pastor is your cover letter. Your application letter for vocation allows you to express your personal views on ministry and your goals for your discipleship.

Set Up Your Application Letter for Postulancy

While the essential qualifications for being a pastor include religious devotion and zeal, professionalism and communication skills are still critical. For that reason, your letter must be well-written and properly formatted. Include your name and contact information in the letter's header, including your physical address, email address and phone number. You should also include the church's mailing address and the date for the day you will submit the entire application package, including the letter.

When you write your salutation, always use "Dear" to begin. You should address the entire search committee using "Dear Members of the XYZ Church Pastoral Search Committee." If there is a head of the search committee, you can address them by name. Also, if the outgoing pastor is still on staff, include their name as a sign of respect. For example, the writers at Cover Letter Ninja explain that reaching out to the current pastor is helpful, or you can use a salutation of "Dear Pastor Jane Doe and Members of the XYZ Church Pastoral Search Committee."

Finally, close your letter with a generic farewell such as "Sincerely." You should actually sign your name, which you can draw digitally or scan and upload.

Write the Body of Your Letter

The specific contents of the body of your letter will depend on the position for which you're applying. For example, a youth pastor cover letter will differ significantly from a senior pastor cover letter. Limit your first paragraph to about five sentences where you introduce yourself and state why you're applying for the job. Use this paragraph to hook your audience, emphasizing your passion for your beliefs and desire to minister to others.

The second paragraph can be a little longer, and it is the most critical part of the overall letter. Here, you talk about your training, credentials and experience. Be sure to research the church and its mission, tone and congregation. Try to tailor your experiences to explain how you would meet the needs of their followers and contribute positively to their mission.

The third and final paragraph should point the search committee to your letters of recommendation and other application contents. Mention how much you're looking forward to speaking with them further.

Other Tips for Application for the Post of a Pastor

Having a well-written letter is critical, but your letter should also match the tone of the church's mission, as described by the educators at Westminster Theological Seminary . Some churches are exuberant in their religious zeal, while others are more restrained. Feel free to incorporate information about your religious devotion and experiences if it fits, but keep it brief. Remember that the letter's purpose is to explain why you're a good fit for this particular pastoral position, not why you're a Christian.

If appropriate in the context of your cover letter, you can also incorporate a Bible verse. However, if you've completed seminary, the search committee knows you're already familiar with the "good book." If you're writing a letter for a different type of church position, such as an application letter for church accountant roles, you can still use the basic format described, but you will want to tailor the body to the specific job.

A Persuasive Pastor Cover Letter Example

Many people underestimate the amount of education and experience it takes to successfully run a church. If you’re applying for a job as a pastor, you have to do much more than prove you have the ‘right’ beliefs. Instead, you have to show that you can provide the kind of leadership, outreach, and administration that meets the needs of your congregation. 

Not only that, but you also need to make a fabulous first impression. In order to accomplish that, you’d got to prepare a convincing cover letter. This piece is written to help you with that. Check out some great tips, then review a sample pastor cover letter. 

Reach Out to The Current Pastor

It’s always important to personalize your greeting. Doing so leaves a much better impression than beginning with an impersonal ‘Dear Sir or Madam’ or some other generic greeting. When you’re applying for a job as a pastor, you will usually address your letter to the hiring committee. Use the name of the head of the committee if you know it.

Here’s where things are a bit unique to your situation. It’s considered to be ‘proper’ to also address your letter to the pastor who is exiting. It’s a matter of courtesy. Further, the current pastor often plays a key role in the hiring process.

Your greeting might look something like this:

“Dear UCC Northtown Pastoral Committee, Joseph Williams, and Rev. Edna Davis,”

Detail Your Beliefs to Show They Align With The Church

Hopefully, your beliefs are in line with those of the denomination to which you are applying. However, things can get a bit more complex than that. Not only do various denominations have specific creeds that they follow, each church often has its own statement of beliefs.

Before you apply, visit the church’s website. Find their statement of beliefs, and read it carefully. Then, use your cover letter to describe how your own beliefs and style of ministering will fit into those.

Briefly Describe Your Education and Credentials

Use a few sentences in the early portion of your letter to share where you attended school, the degree you received, and a bit about your experience in the field. This will give the hiring committee assurance that you meet all of their criteria. This will also show where you stand in relation to other applicants.

Convince That You Can Relate to The Church Community

Churches often serve as social gathering places in the community. Many also offer a variety of services to meet the needs of the people who live in the area, whether they attend or not. Two churches in two different areas may serve very different demographics and provide different types of social services . They will also engage in different types of service and outreach accordingly.

As the hiring committee reads your letter, they’ll want to be assured that you understand their church community. For example, if the church body is made largely of low-income seniors, you could write about creating and coordinating a meal delivery service for senior citizens at your current church. If the church serves young, middle-income families with small kids, write about a program you’ve led to encourage youth to be active in the church.

I have a Master’s of Divinity from Meadville Lombard Theological School. I obtained my Ph.D. in Religious Studies from the Harvard School of Divinity in 2018. I’ve moved to the Southbridge area to run a racial justice non-profit, and am excited at the opportunity to serve the spiritual needs of the community at Southbridge Unitarian as well.

Before moving to Southbridge, I was the youth pastor at Redmond Unitarian church. In that position, I was able to create several programs addressing the needs of youth in the Redmond community. With the generous support of our head pastor and congregation these programs include:

  • Free after school programs for students who had aged out of local daycare programs
  • Summer lunch and ‘hang out’ program
  • Youth Give Back program that involves community teens in service-related projects
  • An athletic program for formed in cooperation with other churches in the community
  • A Saturday fun program with planned activities for Pre-K to Middle School kids

I understand that I would be working with a similar demographic of kids at Southbridge. I sincerely believe my previous experience will allow me to quickly understand the needs of the children who are served by your church and to make meaningful connections with them.

Tips on writing a cover letter - Masthead

What is a Cover Letter?

A cover letter is a one page document attached to your résumé, and together, they make up a complete job application. It is the first document the recruiter sees and therefore the first impression you’ll make. The purpose of the cover letter is to introduce you, the position you are seeking and what makes you uniquely qualified for the job. It is crucial that you take advantage of the opportunity to grab the attention of the reader in the cover letter to encourage them to proceed to your résumé for more in-depth information.

Additional benefits of a cover letter include:  

  • It affords you the opportunity to demonstrate your writing ability  
  • Shows the reader that you have tailored your application for the specific job
  • Provide personal details your résumé does not contain such as you attitude and motivation
  • Explain gaps in your employment history
  • Highlights or expands the key skills and experience the employer is seeking in a potential employee

Formatting your cover letter

To ensure that your cover letter stands out to the potential employer, here are a few tips on formatting for a professional appearance:

  • Easy to read and professional at first glance Consider the following: 

Font: Choose either 11 or 12 points font size. Most recommended font style is “Times New Roman.” (match font style and size in your résumé to make your application consistent)

  • Highlights: Make strategic use of bold and italics
  • Margins: Choose margins between 1” and 1.5” all the way around
  • Line spacing: Choose consistent line spacing of 1.15”
  • Paragraph spacing: Add a blank line between each paragraph. 
  • Length: a single A4 page or Letter Size. (if your letter goes into a second page, edit out unnecessary and wordy language)

Cover letter outline

Header: At the top of the cover letter include the following information on separate lines:

Your full name: This should be the focal point, larger font size to the rest of the document and bold text

Telephone numbers: Include at least two phone numbers and preferably with different service providers in case there is connectivity problems with one. Include a professional voice recording to receive messages

Date and Human Resource Manager’s information

        Add this information to the left margin and structure as follows:

Date: The correct way to format the date is [Month] [Day] [Year] eg. March 18, 2022

Human Resource Manager’s name: Add a blank line after the date and include Human Resource Manager’s name

Company’s full name

Company’s address

Salutation/Greeting

  • It is good cover letter etiquette to address your cover letter to the Human Resource Manager. If no information was given on “who” to address your job application to, check the company’s website, email or call the company’s HR Unit. If those strategies fail, avoid the generic, old fashioned and impersonal greeting, “To Whom It May Concern “or “Dear Sir/Madam”. Use instead, “Dear Human Resource Manager” which is the standard greeting when no name is available.

Opening paragraph

  • First, carefully review the job description and list the criteria or core strengths the employer is looking for in a potential employee. Research the company: visit the company’s website and if you know someone who already works there you should engage them for insight into the company. This helps in customizing your cover letter. 
  • Avoid repeating your name in the opening sentence because it’s already mentioned in the “Header”. Include the title of the job you are applying for, how you learned about the position and why you’re interested in the job and the company.

Middle paragraphs

  • In one or two paragraphs, make the connection between your previous accomplishments and your suitability for the job in which you are applying. Discuss your most relevant experience, highlighting and providing more details on specific skills (transferable) and qualifications you included in your résumé and focus on how your experiences specifically align with the job requirements. Use numbers to highlight your accomplishments whenever possible. Without quantifying your accomplishments, your cover letter (and résumé) would make less of an impression because there wouldn’t be any context to your experience. For example, indicate how many people you managed, trained or onboarded, how many interviews you conducted, customer satisfaction targets etc. Think of it as a sales pitch that will market your credentials and help you get the interview. Also, briefly clarify any employment gaps from your résumé.
  • The third paragraph should demonstrate that you’ve done research on the company and you understand how your goals align with the company’s mission. Show that you can do the job well, you can be a good fit with a team and bring positive attitudes to the workplace.
  • Here are a few things to remember regarding the middle paragraphs: 1) Do not rehash the contents of your résumé (not the purpose of a cover letter). 2) Include numbers in your accomplishments. 3) Avoid clichés and overused phrases such as “think outside the box”, “problem solver”, “dynamic”. Instead, describe your past experiences using strong action verbs to highlight the way you actually performed your duties. 4) Spell out abbreviations and acronyms at least the first time you use them. 5) Use a writing tone most appropriate for the job. For instance, if you lack relevant work experience, your tone should express your enthusiasm and adaptability, otherwise, express how you’re distinctly qualified for the job. 6) Demonstrate your ability to work remotely and meet deadlines since the outbreak of the COVID-19 pandemic. Simply mention something you accomplished at work despite having to move fully remote.

Closing paragraph

  • Use this space to sum up your suitability for the job and express an interest in continuing to the next stage in the hiring process. Thank the reader for their time and consideration.
  • Signoff with a professional and polite closing using any of the following: - Sincerely - Respectfully - Regards - Thank you

          Follow with your signature on a line above your typed name

Before you submit review thoroughly for errors, clarity, effectiveness and readability

Get a second opinion from a trusted family or friend

Read and follow instructions carefully ensuring that you provide all the documents / information requested in the format and size limit given

Save your application for submission in the format specified in the job advertisement

If a format isn't specified, the best option is to save your application in a PDF format. This way your application is seen in the intended format, no one can change the layout and spell check underlining doesn't appear.  (Note: A PDF is an abbreviation that stands for Portable Document Format. It's a versatile file format created by Adobe that gives people an easy, reliable way to present and exchange documents - regardless of the software, hardware, or operating systems being used by anyone who views the document. )

Use Standard English when drafting your email and do not use abbreviations.  Please re-read the body of your email and consider having a second person review.

The subject of your email should also be clear, concise and appropriate – e.g. “Application for the position of Legal Officer”

Review the entire email to ensure that all the attachments are included and correct any errors made before you submit.
