Many of us fear expressing our thanks to others. We might worry that our efforts will be misinterpreted or make the person on the receiving end uncomfortable. Or we might struggle to find the right words to express how we feel. Here’s how to do it right.

  • Keep it genuine : The goal of expressing appreciation should be to let someone know how their actions have impacted you and/or others. If you have any other agenda, your message will not be authentic.
  • Share what you appreciate and why : Focus on the impact their actions had on you and explain both  what you appreciate and why . This will help the other person understand the reason you feel the way you do.
  • Send it : E-mails get lost and handwritten cards get saved. Write your message on a piece of paper, post-it note, or card and give it directly to the person. If you are at work, you can also leave it on their desk or in their “mailbox.”

Making A Thank You Speech

Another in my series using ready made speech templates to prepare your presentation. This time around we are going to look at giving a “Thank You” speech.

When you are asked to give a “thank you” speech you should clarify whether this is expected to be a speech or a vote of thanks remembering a vote of thanks is usually only used in a formal meeting (this being a meeting where office bearers run the meeting and motions for action are passed by proposers and seconders for example).

They are two different speeches.

Some situations will require a formal thank you often called a “vote of thanks”. This is usually part of a meeting and thus will follow the meeting conventions of proposing and seconding. Your vote of thanks then becomes a motion – “I move a vote of thanks to …………. (name of person) for …………. (activity just completed).” Someone else from your group should be ready to second the motion , then the chairman will ask for a vote.

“THANK YOU FOR……”

When providing thanks for a task well done (whether it’s pledging money for a sponsorship deal or serving dinner) your speech needs to be specific and relevant because all of us are more interested in ourselves than others.

“JUST SAY A FEW WORDS”

Your thank you speech should be more than 2 minutes but not more than 4 minutes. It is an occasion for you to express the gratitude (thanks) of your organization to another individual or organization for the part they have played.

Apart from the actual subject of your speech, the two main issues to consider when you are preparing and practising this speech, are STRUCTURE and TIMING .

Structure Make sure you have a beginning, a middle and an end to your speech. Use the format:

  • tell them what you are going to tell them (an introductory summary),
  • tell them (the body of your speech),
  • tell them what you told them (a review summary)

Find out how long you are expected to speak. Write your speech with peak attention and comprehension time in mind – for a 4 minute talk, you will have 3 minutes of peak attention from your audience.

Audiences generally need more time to settle at the start of a speech than at the end.

Content Questions

WHO IS THE RECIPIENT? WHOM DO I REPRESENT? I know it seems silly, however you don’t want to get a name wrong….

WHY ARE YOU MAKING THE SPEECH? Is it a responsibility of your position, are you speaking on behalf of a group?

WHAT IS THE TOPIC? WHAT WAS THE BEST THING ABOUT THE PRESENTATION or SERVICE?

WHERE ARE YOU MAKING THE SPEECH?Do you know the location well, can you have a practice run, will there be other distractions?

Occasion Questions

WHO IS IN THE AUDIENCE? You must think about the audience so that your speech includes them or they will lose interest

WHY ARE THEY THERE? Are they there by choice? Is there a mix of associates? What are they expecting from this occasion?

WHAT IS THE OCCASION? Is this a once a year occasion ? Is this one of a series of occasions? Is this a formal or intimate occasion?

WHERE ARE YOU MAKING THE SPEECH? Think here about the physical location as well as the “what” of the occasion (look at the previous question again!)

First we read the complete speech out loud to give us a base time. Then we review that time to see how it matches the time we have been allocated. Add more content if you are short, remove some content if you are already over time.

Now we’re ready to start practising your speech for presentation to an audience BECAUSE you haven’t done all this work just to read your speech….you are going to present it.

Graduation is an important event, and often, people like to use the occasion to thank everyone that supported them through school or a program. However, writing a good graduation speech can be challenging. Things You Should Know

  • Start with a 2-5 sentence introduction that engages your audience. Try using a rhetorical question, quote, or short anecdote.
  • Thank your friends, family, and teachers in depth in the body of your speech. This should be about 2-3 paragraphs.
  • Conclude your speech with 1-2 sentences that summarize everything you've said so far.

Brainstorming Your Ideas

Step 1 Make a list of everyone you want to thank.

  • If you are talking to close friends or family, address the people you are thanking by name.
  • Write down every person or group of people that comes to mind. You can edit this later on.

Step 2 Write down why you want to thank those people.

  • Be honest about why you are thanking someone.
  • The reasoning here can be very simple. For example, “My history teacher always made me laugh,” or “My mom woke me up every morning” are good reasons to thank someone.
  • The more heartfelt the gratitude, the better. Take time to reflect on your feelings.

Step 3 Write down any other thoughts you have about this topic.

  • Remember, there is no wrong way to brainstorm. Just keep writing.
  • Continue to freewrite until you cannot think of anything else to say, and for at least 30 minutes.
  • Now, you’ve brainstormed about your speech, so it is time to write it.

Writing the Thank You Speech

Step 1 Write the introduction of the speech.

  • “What are you thankful for?” This is beginning with a rhetorical question, since the audience will not answer.
  • As Willie Nelson once said, "When I started counting my blessings, my whole life turned around." This is beginning with a quote.
  • “It was the first day of high school, and I stood outside the door of my first class, scared to go in. On the last day of high school, I left that same door feeling thankful.” This is beginning with an anecdote.

Step 2 Write the body of the speech.

  • For example, you can say, “I would like to thank my friends and family for always inspiring me when I felt hopeless.”
  • Another example is, “I want to thank Professor Z for helping me choose a major.”
  • The body of the speech comes immediately after the introduction.
  • Avoid insulting or offending those you are speaking to. Do not vent about problems or criticize others during this speech.

Step 3 Write the conclusion of the speech.

  • Another simple example is, “Once again, I am so lucky to have such great friends and family. Thank you.”
  • You can end on thanking someone by saying, “The last person I want to thank is my grandma. She was always there for me. Good night.”
  • An anecdote is a great way to end a speech, as well as a wonderful quote from the Romans, Victorians, or a world-famous leader. You could also end the speech with your own words of hope and well wishes.
  • Keep the audience engaged by inviting them to do something physical. You might say "Can we all stand up?" or "I want you to shout 'I love this life!'"

  • When you think of someone who meets one of the criteria above, who comes to mind?
  • Describe what the person did (or didn’t do) that makes you grateful.
  • Address the person by name
  • Articulate the specific act/gesture (don’t gloss over this or rush through it because you feel awkward)
  • Describe how/why you benefited from it – be specific!
  • Express genuine gratitude and appreciation (choose your words carefully)
  • Connect their gesture and your reward to the bigger picture (so it’s not just about your good fortune. Demonstrate your awareness that you are part of the whole (team, organization, family, congregation, etc.)
  • Conclude! Don’t ramble on. How can you summarize your appreciation?
  • Where and when? This question is not to be trifled with. Some people love public praise, others wilt under it. Figure out the right event, audience, and timing so that your efforts yield the results intended:  your subject feels valued, your audience is happy to witness your expression of thanks, and you are viewed as a genuinely thoughtful person – and authentic public speaker!

These thank you quotes come from many sources. I hope you'll find the collection useful for picking out a special phrase, or two, to include in either a vote of thanks speech or a note of appreciation.

Using them makes a great alternative to a repetitive string of: "Thank you, thank you, thank you, thank you ..." That becomes tediously boring to listen to, or read, especially if you have a long list of people, or deeds, to acknowledge.

(Any word said over, and over again, tends to lose its initial impact and meaning. Even thank you!)

A well-chosen quote will help keep your vote of thanks interesting to listen to, as well as meaningful for the first, and last person, on your list.

Getting from thank you quote to speech

Obviously you can either use the quotes as they are, or adapt them to suit your purpose!

However, whatever you choose to do with them do acknowledge the person whose words you're using.

Most of these quotations are well known. If you don't use the person's name people may think you're trying to pass their words off as your own. That could be awkward, embarrassing or even damaging for you.

Example of how to use a quote in a vote of thanks

Here's quote number 5 integrated into part of a "thank you" speech to illustrate. I've used it as the reason leading to thanking three people for their support. 

"The English writer G.B. Stern said   " Silent gratitude isn't much use to anyone " and I agree with her.

I want to shout  my thanks out loud. I want everyone to know and hear how much the support of Tom, Brad  and Harry means to me. But more than that, I want them to know.

Words of gratitude in a card can also be read out loud at a special function - especially if you have the odd butterfly flying around in your stomach.

It is perfectly acceptable, especially if you are feeling a bit emotional, to preface your speech with something like: " May I take the opportunity to read you the words of thanks that I wrote in my card."

You’re walking to work and a stranger stops you on the street to say, “I love your skirt.” In English. What do you say?

Or maybe your English-speaking neighbor brings your family dinner because you were at the hospital for surgery. That’s super nice! So how could you express how thankful you are?

Saying thank you has power. It can help you feel gratitude, share joy and kindness with others, and make other people smile and feel happy.

I want you to know how ALL the different ways to say thank you in English so you can express your appreciation in any situation.

In today’s lesson you’ll NEW ways to say thank you when:

  • Your colleague offers to get you some coffee from the cafeteria
  • Your boss holds the door open for you
  • A company offers you a job or a promotion
  • You end a business meeting with new clients
  • Your husband/wife offers to clean the dishes because you had a long day
  • Your friend calls and remembers you on your birthday
  • Your team at works stays late to finish a project on time
  • Your friend helps you during a difficult time after your mom passed away

Say Thank You in English — Casual Situations

Did your friend just wish you and your husband a happy anniversary? Did your office celebrate your birthday with cake? Did a stranger hold a door open for you at the post office?

For these everyday, informal experiences, we can use a variety of expression to say thanks.

Thank you. / Thanks so much. / Thanks a lot. / Thanks a bunch. / Thanks a ton. / Thanks!

Did your colleague at work just bring you a cup of coffee? Say:

  • “Thanks a bunch! I really need an extra dose of caffeine right now!”
  • “Thanks! You’re awesome for thinking of me.”
  • “Thank you!”

I really appreciate it. / You shouldn’t have.

Did your office just give you a birthday gift or a surprise party at work? Say:

  • “I can’t believe you did this! You shouldn’t have. But thank you so much. This was very kind of you.”
  • “What a thoughtful gift. I really appreciate this!”

I don’t know what to say! / That’s very kind.

A stranger on the street just gave you a compliment. Say:

  • “I don’t know what to say. Thank you.”
  • “That’s very kind of you. Thank you.”

Your friend at work stayed late to help you finish a project.

  • “You’re the best. I wouldn’t have finished this on time without you.”
  • “I really owe you one. Thanks for staying late. Next time you need help, I’ve got it.”

What would I do without you? / To say thank you is not enough. / I can’t thank you enough.

You had a stressful and difficult day at work. Your husband said he would take care of dinner and do all the cleanup. Say:

  • “What would I do without you? You’re wonderful.”
  • “I can’t thank you enough. I really need a night off.”

Say Thank You in English — Formal Situations

Some daily situations – at work and in our personal lives – require more formal language. And this is often true in writing.

For example, if you’re expressing thankfulness or gratitude in a speech at a wedding, a formal reception or networking event, or in a lecture, it would be appropriate to choose more formal language.

Or if you’re writing thank you notes to friends and family members; if you’re sending an email to say thank you to a new client; or writing to another company, again, you’ll want to use these more formal expressions.

  • “Hi, Samantha. I just wanted to send a note to say thank you for taking the trouble to answer all my questions. I know you are busy and I appreciate that you took the time to respond quickly. Thank you.”

Sometimes we have very difficult times in our lives. Maybe a loved one becomes ill. Someone passes away. Or perhaps you lose a job.

Tragedies happen. These can be terribly stressful times. If you are writing someone to thank them to help you, these expressions are most appropriate.

  • “I’m eternally grateful to you for providing dinners to my family while I was in the hospital. I felt comforted knowing they were well-feed.”
  • “Words cannot express how grateful I am for your help after my mom passed away. I was devastated and you helped me get through each day. ”

Say Thank You in English — Professional Situations

If you are writing an official business email or business letter, then it’s best to use professional, formal expressions to show your thanks or appreciation.

For example, you may be writing to thank someone or to thank another company for their help. Or perhaps you want to express your gratitude for them working with you this year.

Thank you for your assistance with… / Thank you for your attention to this matter

  • “Thank you for your assistance with/attention to this matter. We look forward to hearing from you shortly.”

Your support is greatly appreciated. / I’d like to express my/our appreciation for… / Thank you for your kind consideration.

  • “Your support in this discussion is greatly appreciated and we look forward to continuing our work with you.”
  • “On behalf of our company, I’d like to sincerely express our appreciation for your business this year. We wish you Happy Holidays and look forward to another successful year together.”

The words you speak at the beginning and end of your speech are words that your audience will pay the most attention to, and remember longer than any other part of your speech.

Speech endings can put even the most experienced speaker in flux, and increase their anxiousness manifold as they sit there attempting to figure out the perfect way to end your speech.

1. Circling Back To The Beginning

The idea behind circling back to the beginning of your speech is to reinforce the idea of your speech being a complete whole. By circling back to the beginning and connecting it to your ending, you let the audience understand that the idea of your speech is complete & standalone.

Good morning to one and all present here today. On behalf of all the senior graduating class, I would like to thank everyone who made our stay at this college good. To the faculty members who give their very best every day for the betterment of all the students, for not giving up on anyone, and for always being ready to share their knowledge with everyone, we thank you for it. I stand here today in front of you as the best student of the year 2021. When I was in my second year at this college I got to know I had a shot for this title, so I worked for it, I strived for it and surely I sacrificed many things for the last 4 years for it and finally tonight I got it.

I am happy I got the title. I felt euphoric when my name was announced and my heart was racing when I walked on this stage and received my award. I felt I have achieved everything in my life but that feeling lasted just for 20 seconds. 

Yes for the last 20 seconds I felt I was on top of the moon, I felt all my problems were solved and I felt very happy. But then came that heart-wrenching 21st second and during that second I questioned myself “That’s it? ”and there were a series of questions in my head like why am I not feeling any different? why am I not feeling the same when I collected the award?. I felt the same usual thing that I feel every day and that my friends are when I started questioning things. I thought everything from the beginning and here is my thought process.

Working hard is very important and I believe it’s the only thing that makes work gets done. But it should not be done only to reach your goals. It should not be done by sacrificing relationships you have built around you. 

Yes, I am very happy that I got the award and I am grateful for it but I have also sacrificed important relationships and the moments of my life for the last 4 years. Now my friends I want you to reflect on yourself and think of the goal you want to accomplish in your life. It can be anything from becoming a millionaire to even getting into a reputed institute to complete your further education. The point is whatever you want to accomplish in your life, do not do it by sacrificing the important relationships with people in your life. 

I self-reflect on the last 4 years of my college life and all I can see is me working hard for my goals and that’s it. I didn’t make memories with my friends nor spend some time with my family and I regret it. But I am glad that I learned this lesson now in my life imagine if learned this lesson when I was 56 years old or on my deathbed. I am sure there might be many “I wish I had ” in my mind. So I am glad I learned this lesson now. That all want to say to all of you that never regret anything in the 21st second like I am did, always spend your time with your family members and try to create as many happy memories with your friends. 

Last but not least I want to say that no amount of money, titles, or accomplishment will help give warmth to our hearts at the end of our lives. The relationships you built and the impact you make in everyone’s life is what will help you at the end of your life.

Good morning to one and all present here today. On behalf of all the senior graduating class, I would like to thank everyone who made our stay at this college good. The board of directors of the college, the teaching staff, the maintenance staff we thank you all for always giving your best and we thank you all for always being there for every student. To the parents, we thank you for all the sacrifices you have made for us so that we could complete our studies. 

I stand before you the best student of the year 2021 and I must say I am very proud of myself. I got to know  I had a shot for the title when I was in my second year. From that moment I worked hard, I strived and sacrificed for getting that title and today I got it and I feel happy. From the moment my name was announced to the moment I collected the title, my heart was racing and I felt euphoric. I felt I have accomplished everything on this planet and I felt great. But that feeling lasted for just 20 seconds and on the 21st second, I felt normal. Why ? was the question in my mind. Why am I not feeling different? This was the problem for me and that is when I started reflecting on my last four years at this college. 

Working hard is important and it surely gets the work done but it should not be done by sacrificing the important relationships in our life. It surely should not be done for the sole purpose of reaching your goal. The point I wanna make here is that whatever your goal is whether making money, playing any sports at the national level anything does not do it for the sole purpose of reaching your goal. While you are working on your goals spend time with your family and friends because when we are at the end of our life, it’s not the money, medals, or accomplishments that would give us warmth in our hearts. The relationships you built and the impact you make in everyone’s life is what will help you at the end of your life. Thank you and God bless you all.

I don't feel good; in fact, I don't feel anything except immense joy and gratitude to everyone and everything who helped me reach this milestone. I'd like to thank my parents for their unwavering support, as well as my friends for their regular reassurances. And I'd like to thank everyone who was there for me when I was still a dreamer and is still here to help me live that dream. Finally, I'd like to thank God Almighty himself. He put me through difficult tests, but he also gave me the courage to overcome them; he gave me doubts, but he also gave me the willpower to overcome them.
